Route density improves when compatible work is clustered geographically within a realistic working day. More stops on a map is not automatically better: include travel, service duration, breaks, access restrictions, and customer windows before adding capacity.

Measure a real day before redrawing territories

Separate driving, on-site service, waiting, and non-service work. Use several representative days, not only the easiest route. If the schedule assumes every property takes the same time, a routing tool will optimize a day that does not exist.

Review where the estimates are wrong. A commercial site with access procedures may require more non-treatment time than a nearby residential stop. That difference belongs in planning, not in a daily argument about whether the technician is moving fast enough.

Build recurring territory days with exceptions

Offer compatible days to customers in the same area, then keep genuine appointment constraints visible. Do not move protected appointments merely to make the map look tighter. A useful territory plan reduces routine travel while leaving an intentional place for callbacks and urgent work.

  • Group nearby recurring visits when service windows allow.
  • Count travel between stops, not just miles from the shop.
  • Reserve time for loading, paperwork, and breaks.
  • Consider technician qualifications and equipment.
  • Review access failures before adding more stops to that area.

Use a capacity calculation you can explain

Illustrative example: an eight-hour shift with one hour of loading, breaks, and closeout leaves seven hours for travel and service. Twelve stops averaging twenty-five minutes on site already consume five hours. That leaves two hours for every drive and delay—not two hours for more service.

The example is planning arithmetic, not a benchmark. Replace each assumption with your own observations. Compare revenue and contribution per route hour alongside stop count so a dense route full of underpriced work does not appear healthy.

Review changes with the dispatcher

Track on-time performance, overtime, work left unassigned, drive time, and manual corrections. If every midday insertion reshuffles the entire route, the hidden cost is customer confusion and dispatcher attention. Ask how the software preserves active and pinned work.
